Our requirements:

  • For driving positions you must be over 21 years of age (due to required insurances for overseas driving)
  • You must have held a full driving licence for a minimum of two years and must have no current or previous driving convictions 
  • You must be able to leave behind all personal commitments in the UK for a minimum of 7 months 
  • Computer literate 
  • Flexible, reliable and hard working

Administrator

An Overseas Administrator role is based in the resort office.

You have previously worked in an office administration role.

Computer literacy and good communication are essential for this position. You are must be numerate and have the ability to manage your time constructively.

Your duties require you to be extremely organized, the backbone of the team. The representatives will be reliant on your attention to detail and your support.

You will be aware of everything going on in resort, always one step ahead.

On top of your office duties you are expected to assist when needed with airport transfers and other representative duties, therefore you must be a team player.

Some of your responsibilities include:

  • Must be fully conversant in computer packages including, but not limited to, the Internet, E-mail and Microsoft Office and Excel and be able to competently download arrivals/departure lists and manifests via our inhouse Reservations system (full training given).
  • Assists the Line Manager in collating all arrivals and departures and to prepare transfer and coach lists. Required to be available at the airport on arrival/departure day to assist in the smooth running of all transfers and where necessary partake in transfers. 
  • Downloading of all bookings and to update new amended or cancelled bookings on a daily basis. Bookings to be delivered/faxed to hoteliers to sign to confirm and deliver/fax back.
  • To assist in the preparation and collection of all weekly paperwork and reports from the representatives, and to check and forward copies to Head Office on a weekly basis and as required.
  • To keep your Line Manager/Local Agent & Head Office up to date with all events in resorts. 
  • At all times to ensure that all Kosmar Holidays’ and any XLLG guests are given the highest level of care, attention and information possible. To promote and maintain Company policies at all times.
  • Be prepared for any eventuality and take action to resolve the situation immediately.
          


Day in the life of...

Representative

An Overseas Representative role involves daily contact with clients and requires someone with patience, tact, diplomacy and an approachable, outgoing personality. 

You need to be confident and highly motivated. 

Working with your team is important, as is using your initiative to be able to work alone. 

A pro-active attitude towards sales targets is necessary to promote excursions and car hire, increasing your salary through commissions.

Some of your responsibilities include:

  • To complete our pre-season and post season paperwork, checking accommodations and brochure descriptions. Ensuring that the resorts opened up and closed down correctly. 
  • To organise/escort the transfer of guests to/from resort/airport/accommodation. To be available at the airport to assist in the departure and arrival of guests, working with other team members to ensure the smooth running of transfer day.  
  • To hold Welcome Meetings in order to provide guests with all relevant information and to promote and sell Company excursions and car hire.
  • To be available to guests at pre-determined times on a regular basis and at any other time. To ensure that at all times guests are given the highest level of care and attention possible. To provide all necessary information to guests. Be polite and assist guests in any way possible.
  • Prepare and maintain all necessary paperwork to a high standard, including notice boards and information books.
  • Ensure a high standard of cleaning and maintenance in all Kosmar properties, and that any repairs are carried out promptly. To liaise with accommodation owners, local agents and suppliers to minimise problems and maintain a good working relationship.
  • To participate in the guiding of Company excursions sometimes outside normal visiting times, and to attend to the needs of guests throughout.
  • Be prepared for any eventuality and take action to resolve the situation immediately.
          


Day in the life of...

Senior Representative

A Senior Representative will have at least 2 years repping experience and will fully understand the role of the resort representative, working closely with the team, with the maturity to communicate effectively with the Manager. 

You have all the skills that we ask for in our Overseas Representatives. 

In addition, you will demonstrate the ability to achieve and set targets, problem solve efficiently and run a resort smoothly utilising and building on your team. 

A senior position could also be in charge of their own area, reporting to a manager with a small team. Therefore, good organisational skills are imperative. 

Some of your responsibilities include:

  • All aspects of Representative’s responsibilities. See Representatives job spec.
  • To thoroughly check at the beginning and throughout the season the resort and property descriptions in the brochure to ensure the utmost accuracy. Advising Head Office and your line Manager of any changes.
  • To complete and prepare pre-season and post season paperwork. 
  • To be responsible for the overall running of the resort/area and to support and guide all representatives in that area helping them to work to the best of their ability to upkeep all necessary standards.  
  • To create a positive team spirit and working atmosphere and boost team morale. 
  • Keep in regular contact with your Line Manager and Local Agent as he/she must always be kept up to date with daily events.
  • Be prepared for any eventuality and take action to resolve the situation immediately.
          


Head Representative

You will be responsible for the overall running of resorts in your area ensuring that all staff work to the best of their ability and are monitored with any issues pre-empted.

Your team should be smart and professional at all times. 

You are available to the team, and ensure that the representatives are available to guests at pre-determined times. 

You may be required to carry out representative duties. 

You will have at least 2 years representative experience coupled with some management experience and a thorough understanding of the job and the life of an overseas representative.

You will be required to manage your own team within an area. Communicating effectively with the UK. You will be aware of everything that is happening in your resorts and maintain company standards and procedures as well as monitoring your team.

Some of your responsibilities include:

  • To ensure pre and post season checks are carried out accurately. To communicate any differences throughout the season to Head Office immediately.  
  • To ensure that all pre-season paperwork relating to the accommodations and excursions and the resorts are completed accurately and fully and are posted to Head Office before the beginning of the season.  
  • To ensure that all the resorts in your area are all correctly closed at the end of the season and that all paperwork relating to the resorts is finalised and posted to Head Office without delay.

  • To be responsible for the overall running of the resorts in your area ensuring that all staff employed by Kosmar Holidays in that area work to the best of their ability to upkeep all necessary standards. Ensure that at all times a smart and professional manner is maintained by all staff. To be available to, and ensure that all other representatives are available to guests at pre-determined times on a regular basis. At all times to ensure that all Kosmar Holidays’ and XL LG guests are given the highest level of care, attention and information possible.
  • To promote and maintain Company policies at all times.
  • Overseeing and checking of all maintaining a good working relationship with all suppliers.
  • To hold welcome meetings in order to provide the guests with all relevant information and to promote the Company.

Day in the life of...

Resort/Island Manager

You will be responsible for the overall running of resorts in your area ensuring that all staff work to the best of their ability and are monitored with any issues pre-empted.

Your team should be smart and professional at all times. 

You are available to the team, and ensure that the representatives are available to guests at pre-determined times. 

You will have at least 2 years representative experience coupled with management experience and a thorough understanding of the job and the life of an overseas representative.

You will be required to manage your own team within an area. Communicating directly with the UK. You will be aware of everything that is happening in your resorts and maintain company standards and procedures as well as monitoring your team.

ADMINISTRATOR

Commuting to work after a quick morning swim, is only a short walk from my accommodation, this is one of the benefits of working in Malia. I look after the resorts of Malia, Stalis & Hersonissos.

I am the first port of call for the reps, which come into the office for their lists, transfers, charting and any other official procedures.

I work in the office that is open for clients to visit, so I am a great problem solver and have excellent customer care skills. I like to be organised and prioritise my workload to ensure everything runs like clockwork to meet the day’s demands, but always have to be one step ahead in case there is an emergency that takes me away from normal duties. 

The job involves lots of liaising with the UK, dealing with calls from hotels, guests and reps. I am arrivals supervisor for Friday night at the airport, so I have to schedule in some ‘catch up sleep time’ as flights to Crete are in the middle of the night.

An Administrators job is hectic. I have to be aware of everything going on in resort and communicate it effectively. It is a once in a lifetime experience – I love my job.

HEAD REPRESENTATIVE

"Are you a Holiday Rep or... A Rep on holiday?"

The reps week begins at the airport. I love the buzz of the place. Every week is different and you never know if it will all work to schedule! catching up with your colleagues from different resorts. Airports vary, with 24 hour airport days,3 flight days a week in Crete, to the strictly controlled military airport at Preveza that closes at 11pm if the plane has landed or not!

Welcome meetings follow airport days. They are the first opportunity to meet your guests. You are expected to promote the area you have explored and sell excursions and car hire. If you achieve the monthly target you earn commission for yourself! You will come into contact with any issues the guests have and will try to resolve for them. Nipping things in the bud works wonders. Following up issues is very important.

The accommodation visits allow you time to chat to guests, resolve issues with the owners and sell a few more excursions! A good relationship with your owners will make your season run smoothly and it is wise to accept that they want to feed you up with cake and coffee occasionally.

You spend time in resort office, completing the weekly paperwork, Complaints and accounting for excursions.

It can be a busy atmosphere as guests are always popping in. You may share with reps from other companies from all over Europe so it can be quite cosmopolitan.

This is definitely not a nine to five job. It is great chance to develop your confidence. My first year I was shyand the first welcome meeting I did I was so nervous. Now I am manager of a resort, dealing with everything from the crisis of lost teddy bears to hospital visits. Repping makes you think onyour feet.

This is one of the most diverse and rewarding jobs that you can do.

RESORT REPRESENTATIVE

You’ll hear many stories about life as a rep, here’s an insight into what really happens. No two days are the same: airport duties, transfers, welcome meetings, accommodation visits and hospital visits are a few of the responsibilities you will have. 

Life is not one big party and you don’t get to go to the beach everyday, but you do experience another culture and lifestyle. Dealing with the public is challenging, you’ll meet some interesting people and the social aspect of the job means you have time to chat with guests, but be warned as they always want to know everything about you! Then you’ll meet those guests who are not interested in talking to you and are even a little scared that you’re going to force them into spending money on a boat trip or Greek Night! I enjoy the challenge of getting people to engage in a conversation with me and realise you actually do have useful information to offer for free – once you have gained their trust they will book trips with you. All in all the lifestyle of a rep is challenging and hard work but most importantly its lots of fun and very rewarding.
